Most tuition centers collect fees the same way: the parent sends a UPI transfer, or hands over cash, and then the ball is in your court. You check the account, screenshot the payment, mark the register, and hope you match the right amount to the right student. Repeat that for 40 students a month and collection becomes a part-time job.
Online fee payment removes that loop. When parents can pay from their own dashboard, the payment lands on the right student's fee record automatically — and you stop being the middleman between a bank notification and a register.
1. The cash-and-screenshot problem
Manual collection fails in small, predictable ways:
- "Did it come through?" — you open the bank app to check a transfer that may or may not have arrived
- Wrong reference — a UPI message with no name, or an amount that matches three students at once
- Partial payments — a parent pays part of the month and the register quietly drifts out of sync
- Cash safety — cash at the front desk, deposited later, reconciled from memory
None of this is a discipline problem. It's what happens when the payment and the record live in two different places.
2. What "pay online" actually means here
It's worth being precise, because "online payments" can sound like money flows through the software company. It doesn't. The flow is simpler and safer than that:
- The institute connects its own Razorpay account to PingClass, once.
- From then on, parents can pay a fee directly from their dashboard — by UPI, credit/debit card or net banking.
- The money settles to the institute's own bank account. PingClass records the payment; it does not hold your funds.
So you keep control of your money and your gateway, while parents get a clean, modern way to pay without leaving the app they already use to check attendance and dues.
3. What parents see
When a fee is due, the parent opens their dashboard, sees the pending amount, and taps to pay. It looks like this:
One tap opens a secure payment screen. The parent pays the way they already pay everything else in India, and both sides get confirmation immediately.
4. What the institute gets
The real win isn't the payment itself — it's that the payment is never a separate chore:
- Recorded instantly — the fee flips to Paid the moment the payment succeeds, on the right student and the right period
- A receipt issued automatically — a numbered receipt the parent can download, useful at tax time and for school fee recalls
- No reconciliation — no bank-app check, no screenshot filing, no register entry to forget
- Real collection numbers — paid, pending and overdue stay accurate, because the source of truth is the payment, not a manual entry
You still see everything admin-side: who paid, how much, which method, and what's still outstanding per student and per batch.
| Task | Manual collection | Online payment |
|---|---|---|
| Parent pays | Bank transfer or cash, outside the app | UPI, card or net banking from the dashboard |
| You find out | Check the bank app, match the amount | Marked paid automatically on the right fee |
| Receipt | Written or issued on request | Numbered receipt issued and downloadable |
| Month-end | Reconcile transfers against a register | Collection rate already up to date |
5. Setting it up
Online collection is available on every PingClass plan — Free, Basic and Pro. The only requirement is a one-time connection of your institute's Razorpay account. Once it's connected, the "Pay online" option appears on parents' pending fees; before that, fees work exactly as they always have (track them, mark them paid, issue receipts).
If you don't yet have a Razorpay account, you can create one and connect it to PingClass — the connection is done from inside PingClass, not through a separate integration project.
6. A few honest notes
- Settlement is standard. Razorpay settles funds to your bank account on its normal schedule (typically T+2), like any online payment gateway — not instantly into your hand.
- Gateway fees apply. Razorpay charges its usual transaction fee. That's between you and Razorpay; PingClass doesn't add a per-transaction cut.
- Cash and UPI direct still work. If a parent prefers to pay offline, keep doing that — mark the fee paid and a receipt is issued just the same. Online is an option, not a mandate.
That combination — online when it's convenient, offline when it isn't, one record either way — is what makes collection painless instead of fragile.
Institutes that move collection online report the same shift: the month-end scramble turns into a dashboard that's simply already up to date.
The bottom line
Chasing payments is one of the most time-consuming jobs in running a tuition center. Letting parents pay online — from the same dashboard where they check attendance and dues — collapses the payment, the record and the receipt into a single tap. Connect your Razorpay account once, and the month-end reconciliation takes care of itself.
