PingClass is free for up to 20 students. What academy management software should do for a small institute: one register for students and batches; batch-wise attendance in seconds; fee tracking with automatic reminders before the due date; parent self-service (read-only view of their own child's attendance and payment status); role-based views for admin, teacher and parent. When spreadsheets-and-WhatsApp stop being enough: you don't trust your numbers, fee collection is a month-end scramble of calling parents one by one, parents interrupt you for information, and front-desk work is done twice. PingClass works for tuition centers, coaching institutes and skill academies (badminton, dance, music, art, spoken English) - the admin workflow is identical, only the subject changes. Cost: Free for up to 20 students; Basic Rs 249/month or Rs 2,499/year; Pro Rs 599/month or Rs 5,999/year (annual = 2 months free). No contracts, no per-student fees. Institute owns its data and can export students, attendance and fee history. You check the account, screenshot the payment, mark the register, and hope you match the right amount to the right student. Repeat that for 40 students a month and collection becomes a part-time job. Online fee payment removes that loop. When parents can pay from their own dashboard, the payment lands on the right student's fee record automatically — and you stop being the middleman between a bank notification and a register. 1. The cash-and-screenshot problem Manual collection fails in small, predictable ways: "Did it come through?" (you open the bank app to check a transfer that may or may not have arrived); wrong reference (a UPI message with no name, or an amount that matches three students at once); partial payments (a parent pays part of the month and the register quietly drifts out of sync); cash safety (cash at the front desk, deposited later, reconciled from memory). None of this is a discipline problem. It's what happens when the payment and the record live in two different places. 2. What "pay online" actually means here It's worth being precise, because "online payments" can sound like money flows through the software company. It doesn't. The institute connects its own Razorpay account to PingClass, once; from then on parents can pay a fee directly from their dashboard by UPI, credit/debit card or net banking; and the money settles to the institute's own bank account. PingClass records the payment; it does not hold your funds. 3. What parents see When a fee is due, the parent opens their dashboard, sees the pending amount, and taps to pay. One tap opens a secure payment screen. The parent pays the way they already pay everything else in India, and both sides get confirmation immediately. 4. What the institute gets The real win isn't the payment itself — it's that the payment is never a separate chore: recorded instantly (the fee flips to Paid the moment the payment succeeds, on the right student and the right period); a receipt issued automatically (a numbered receipt the parent can download, useful at tax time and for school fee recalls); no reconciliation (no bank-app check, no screenshot filing, no register entry to forget); real collection numbers (paid, pending and overdue stay accurate, because the source of truth is the payment, not a manual entry). Manual collection vs online payment — Parent pays: bank transfer or cash outside the app, vs UPI/card/net banking from the dashboard. You find out: check the bank app and match the amount, vs marked paid automatically on the right fee. Receipt: written or issued on request, vs numbered receipt issued and downloadable. Month-end: reconcile transfers against a register, vs collection rate already up to date. 5. Setting it up Online collection is available on every PingClass plan — Free, Basic and Pro. The only requirement is a one-time connection of your institute's Razorpay account. Once it's connected, the "Pay online" option appears on parents' pending fees; before that, fees work exactly as they always have (track them, mark them paid, issue receipts). 6. A few honest notes Settlement is standard — Razorpay settles funds to your bank account on its normal schedule (typically T+2), like any online payment gateway. Gateway fees apply — Razorpay charges its usual transaction fee; that's between you and Razorpay, and PingClass doesn't add a per-transaction cut. Cash and UPI direct still work — if a parent prefers to pay offline, keep doing that and mark the fee paid; a receipt is issued just the same. The bottom line Chasing payments is one of the most time-consuming jobs in running a tuition center. Letting parents pay online — from the same dashboard where they check attendance and dues — collapses the payment, the record and the receipt into a single tap. Turn on online fee payment Connect your institute's Razorpay account in PingClass and let parents pay by UPI, card or net banking — payment recorded and receipt issued automatically. It decides how batches are structured, whether a student is doing well, and how much fee you can honestly claim for a month. Yet for most small institutes it's still a register that gets filled in last minute. Here's what paper registers and spreadsheets actually cost you — and what to do instead. 1. Registers tell parents nothing until there's a problem The register is written at the desk and stays at the desk. A parent finds out their child has missed six classes only after results drop — at which point the conversation is about refunds and trust, not attendance. Parents don't want a monthly summary; they want to know today that today's class happened and their child was there. Registers can't do that. Digital tracking can, automatically. 2. Low attendance is a leading indicator — if you can see it Students who start slipping often show a pattern before it's obvious: missing Mondays, then alternate days, then whole weeks. If you spot that pattern in week 2 instead of month 2, a short conversation can pull the student back. An institute owner told us the at-risk view changed how they run: "I used to find out about truancy at the parent-teacher meeting. Now I see it on my dashboard and call the parent that week." 3. Manual attendance eats class time Calling out 25 names takes 90 seconds per class. Per batch, per day, that's a meaningful slice of every teaching hour. And it's still wrong half the time — because "who was absent" gets remembered as "who I notice is missing." Marking attendance from a tap-list takes a few seconds, records who's actually there, and lets the teacher move on. 4. Registers disappear and can't be queried "How many classes did Rahul attend in June?" On paper, that's an afternoon of counting. Digital records answer it instantly — per student, per batch, per month — and they don't get lost between terms. The practical shift Mark per batch, per class — attendance belongs to the batch, not a single school-wide list. Share without being asked — parents see their own child's history, so "how is my son doing?" answers itself. Watch patterns, not single days — one absence is normal; a trend is a signal. Keep it role-based — teachers mark their own batches; admins see everything; parents see only their child. The bottom line Attendance tracking that lives on paper is invisible. The moment it's digital — accurate, batch-wise, and visible to parents in real time — it stops being admin and starts protecting your institute's reputation and results. Make attendance a 2-second task PingClass marks attendance per batch in seconds, shows at-risk students at a glance, and lets parents check their child's history anytime. Before you pay for tuition management software, check these seven things. 1. Can it actually replace your attendance register? Attendance is the daily-use feature — if this is painful, you'll abandon the tool even if everything else is great. Test how quickly you can mark a batch of 20 students. If it's not faster than calling out names, keep looking. 2. Does fee tracking show per-student AND per-batch numbers? A tool that only shows "total collected" hides where the problem is. You want: Who exactly has pending fees, right now Collection rate per batch, so you can see which batch is dragging Reminders that go out automatically before the due date 3. Who gets to see what — and can parents see less? Your teachers should see their own batches. Your admins should see everything. Your parents should see only their own child's data. Ask directly: is there role-based access, and can I prove no parent can see another family's records? 4. Can parents self-serve, or do they always call you? The tool that removes phone calls is the tool that keeps getting paid. If parents can check attendance history and payment records themselves, you win back real hours. "Parent app" in the marketing material doesn't mean much — open the parent view and count the clicks to see a fee record. 5. Do you own and control your data? Know what happens to your student records if you stop paying. Can you export everything (students, attendance, fees) in a usable format? A tool that makes your data hard to leave is a liability, not a feature. 6. What does it cost for your actual size? Pricing is often a trap: cheap per student, brutal when your batch grows. Work out the real monthly cost at your current student count — and at double. Look for a plan that fits small institutes first. 7. Is it built for India, not translated for it? Fees in rupees, UPI-friendly payments, Indian phone numbers, regional naming conventions, and support for the way Indian institutes actually run (multi-batch, class-wise). A tool where you spend your first month fighting the currency symbol is a bad sign. Quick rule of thumb: if you can't go from signup to marking attendance for a real batch in under 15 minutes, it's not simple enough. The bottom line A good tool makes attendance faster than a register, fees visible per batch, and parent questions largely self-served. Test those three on a free plan before you commit money to anything else. Holding up against your checklist PingClass is built for Indian tuition centers: batch-wise attendance, fee tracking with reminders, role-based dashboards and a parent app — free for up to 20 students. People run institutes on tight budgets and need to know what's actually available without paying upfront. The good news: real free options exist. The honest news: "free" means very different things depending on the tool. This article maps what free tools cover, where the limits are, and what to check before committing. What "free" usually means in this space Almost no tuition management tool is completely free forever with every feature unlocked. What you will typically find is one of these setups: Freemium with a student cap. The free plan works up to a student count — commonly 15, 20 or 30 — after which you must upgrade. Limited batches. You can manage one or two batches free, but a second teacher or a third class pushes you toward a paid tier. No payment gateway. Fee tracking is free, but collecting payments online inside the app is a paid feature — or not offered at all. No branded app. A white-labelled app for parents is a paid plan perk; free users get a generic portal instead. Community support only. Email and chat support are reserved for paying customers. Free users get a help center or a forum. None of these are scams — they are business models. The point is to read the pricing page carefully and know which limit you will hit first, because it is usually the student cap. What you can typically get for free Within the free tier, most tuition management tools genuinely cover the day-to-day essentials. Expect at least: Attendance logging. Mark students present or absent per batch in a few seconds, and pull a monthly report. Basic fee tracking. Record payments, mark students paid or pending, and see who owes what at a glance. Parent notifications. Attendance or fee updates reach parents automatically, usually as push notifications. One admin login. The institute owner manages everything from a single account; extra staff logins are often paid. Student records. A structured profile per student — name, class, contact, batch — instead of rows in a spreadsheet. For a one-teacher institute with a small class, that bundle is genuinely enough. It replaces the spreadsheet, the fee register, and a large share of the WhatsApp follow-up. Where free stops being enough The free tier breaks down at predictable points. Watch for any of these: More than ~20 students. The student cap is the most common wall. Past it, you either juggle two accounts or you pay. Multiple teachers. When staff need their own logins and their own batch views, single-admin free plans force one person to do all the data entry. Per-batch fee splits. Different classes at different fees become hard to track accurately, and free tiers rarely report per-batch totals well. Audit logs or reports. "Who changed what, and when?" and clean payment history exports usually require a paid plan. A branded app or payment gateway. Parents paying online under your institute's name is almost always an upgrade. A free plan is a promise about size, not about time. The real question is whether the limit matches the institute you have today — and the one you expect next year. PingClass as a free option PingClass is built around a simple idea: a small tuition institute should not have to pay for software. The free tier gives you: Up to 20 students — with no time limit. Attendance and fee tracking included in the free tier. A parent app, so parents check attendance and payments themselves. Batch management, so different classes stay separate. No trial clock is ticking in the background, and core features are not carved out of the free tier. When you pass 20 students and the limits become real, there is an upgrade path instead of a hard wall. That is the honest way to frame it: free until you outgrow it, not free until a timer runs out. Questions to ask before picking any free tool Before you enter your students' names anywhere, get clear answers to these five questions: Can I export my data? If you can't take your data out — as CSV or Excel — you are locked in. Export should exist from day one. Is there a student cap? Find the number and do the math on your next admission season before it becomes a problem. Does it work offline? Tuition centers often have weak connectivity. Can attendance be marked without a strong signal? How do parents access it? Is there a parent app, or are parents expected to call you for every update? What happens when I outgrow it? Is the upgrade a simple same-account move, or do you start over with a new tool and a fresh import? The realistic bottom line Free tools are genuinely good for small institutes. Do not pay for software until you have a problem the free tier cannot solve — that is the right bar, and it will save you money that is better spent on furniture, projectors, or a rental deposit. When you do outgrow the free tier, compare options on your own numbers, not on marketing pages. Evaluate PingClass, Classplus, and others against your actual size and needs: number of students, number of teachers, whether you need online payments, and whether a branded parent app matters to you. The right choice is the one that fits the institute you are running today. Free should mean free. PingClass is free for up to 20 students with no time limit. You're not alone in that. The register gets forgotten, parents ask "how much do I owe?", and by the 15th you're making reminder calls instead of teaching. The fix isn't more discipline — it's a system. Here's a simple way to manage fees that works for 20-student batches and 200-student halls alike. 1. Know exactly what's owed, per batch, at all times Most confusion comes from not having one clean answer to "who has paid?" Keep a single record per student with: Monthly fee — the amount for that student's batch Paid months — which months are settled Pending months — what's still outstanding Batch — so you can see collection rate per class, not just overall If you're on a spreadsheet or register, this is the minimum structure to keep. If you'd rather not, this is exactly what a fee management tool like PingClass tracks for you. 2. Send reminders before the due date, not after Parents are not avoiding you — they forget. A reminder that arrives a few days before the due date prevents the awkward "can I pay tomorrow?" conversation. Push notifications beat SMS and WhatsApp for this in two ways: they're free, and they reach parents directly on their phone. No message chains to dig through. One center owner told us reminders cut their overdue list by over half in two months. The parents were happy to pay early — they just needed a nudge. 3. Track collection rate, not just total collected "We collected ₹89,000 this month" sounds fine — until you realize you should have collected ₹1,00,000. Collection rate keeps the gap visible: Collection rate = amount collected ÷ fees due for the period Set a target — most healthy institutes run above 90% Watch per batch — one batch dragging at 70% tells you where to focus 4. Give parents a record of what they've paid Disputes ("I already paid in May!") are the most time-consuming admin of all. When parents can open their own payment history, the argument disappears. It's also genuinely useful for them at tax time and for school fee recalls. 5. Make it a 10-minute task, twice a week Don't try to "finish fees" once a month. Block twice a week to scan pending, follow up with the few stragglers, and record what came in. Short, regular attention beats a monthly panic. The bottom line Fee management falls apart when the record of "who paid" lives in your head or a shared register. A single, always-accurate record — per student, per batch, per month — plus reminders before the due date, will remove most of the chaos from your collection cycle. Want this without the spreadsheet? PingClass tracks fees per student and batch, sends free push reminders before due dates, and gives every parent their own payment history. "How much is pending?" "When is the next test?" — if you run a tuition center, these questions arrive daily. Individually they're small. Together they eat a chunk of your teaching day. The fix isn't replying faster. It's making the answers available without being asked . Here's how to set that up. 1. Push updates instead of pulling questions Right now, most institutes work on a pull model: parents ask, you answer. That's backwards. Every question you answer today is a question that will be asked again tomorrow — by the same person. A push model flips it. Parents receive updates proactively: Child's attendance for today's class A reminder before a fee due date Notice of a schedule change An announcement about a test or holiday Parents don't have to remember to ask. You don't have to remember to tell them. The system does both. 2. Group communication should not mean broadcast spam WhatsApp groups are the default today, and they have a problem: everything is visible to everyone. Parents scroll through fifty messages to find the one about their child. Some see "fee reminder, please clear pending amounts" and feel singled out, even when it's a blanket message. The alternative for sensitive or student-specific info is per-family delivery . Each parent sees only what concerns their own child — their attendance, their fees, their batch. That's harder to do manually and trivial with software, because the records already know who belongs to whom. 3. Cut the number of touchpoints rationally You don't need to message parents every day. Over-communication becomes noise, and parents start ignoring you. A sane cadence looks like: Automated: attendance summary, fee reminders, batch updates Human: a call only for real concerns (repeated absence, behaviour) Never: "please reply to confirm" messages with no purpose One center owner told us they moved parents to automated updates for routine things and kept calls only for real issues. Their missed calls dropped from several a day to almost none in a month. 4. Give parents a record they can check anytime Some parents don't want notifications at all — they want to check when they feel like it. A simple view where a parent can see payment history, attendance and batch details on their own schedule removes most of the "just checking" calls and questions. The bottom line Parent communication breaks when answers live inside your head or a single group chat. When updates go to parents automatically and questions get answered before they're asked, the phone stops ringing and parents trust you more. Let parents self-serve instead of calling you PingClass sends attendance and fee updates to each parent individually, and gives every parent their own view of their child's records. Software · 6 min read · Updated September 2026 Classplus is the biggest name in Indian tuition management — a heavily funded platform that powers thousands of coaching institutes. PingClass is a small, self-funded alternative built around one idea: most institutes do not need most features. Which one fits depends on your size, your budget and how much complexity you actually want to run. What Classplus does well Branded app. Your institute gets its own branded app, which looks professional to parents and students. Built-in payment gateway. Collect fees inside the platform — no separate payment setup or reconciliation. Large user base. A big community, established brand and proven track record with thousands of institutes. Robust course and fee features. Batch management, course catalogs, fee structures and reports built for scale. India-focused. Pricing, payment methods, SMS and parent communication are all tuned to the Indian market. Where Classplus costs more Classplus is a serious product, and it is priced that way: Pricing starts higher. The free or low tiers are limited; the plans that unlock real features cost more from day one. Long-term contracts. You commit for a period, not month to month. That is a real risk for a small institute trying a tool for the first time. Per-seat onboarding. Setup and onboarding are charged per seat, so the price climbs as your institute grows. Features behind higher tiers. What you actually want is often gated behind a more expensive plan than you started with. Complex for a two-teacher institute. Courses, catalogs, catalogs of catalogs — the depth becomes overhead when you just want attendance and fees. None of that makes Classplus bad. It makes it a tool sized for a specific kind of institute — and small, simple centers pay for power they never use. What PingClass does well Free for up to 20 students. The free tier is a working product, not a trial — no time limit, no card required. No contract. Month to month, simple paid plans, and you can walk away any time. Attendance + fees + parent app in one place. The three things a small institute actually runs on, under one roof. Simple setup. Sign up, add your batches, add students. You are running within the hour, with no onboarding calls. Works globally. No Indian tax complexity baked in — the same dashboard works for an institute anywhere. Where PingClass falls short No branded mobile app for institutes. Parents use the parent app, but your institute does not get its own white-label app yet. No payment gateway integration yet. Fees are tracked in the dashboard; collection still happens outside the tool. Smaller community. Fewer institutes, fewer tutorials, less support content than a platform with Classplus's scale. No enterprise SSO. If you need SAML and centralized login for a large chain, that capability is not there. Side-by-side comparison Feature Classplus PingClass Pricing model Higher starting price, per-seat onboarding, long-term contracts Free for up to 20 students, simple month-to-month plans, no contract Branded app Yes — your institute gets its own app No branded institute app yet Payment gateway Built-in collection inside the platform Not integrated yet — track payments in the dashboard Attendance Tracked within the app ecosystem Marked in seconds, batch-wise, visible to admins and parents Fee tracking Full course catalogs and fee structures built for scale Paid, pending and overdue per student and per batch Parent access Parent-facing communication and app access Parent app with attendance and payment history in one place Batches Strong multi-batch, multi-course management Multiple batches, each with its own attendance and fees Onboarding time Setup calls and per-seat onboarding process Sign up and start the same day — no onboarding calls Contract required Long-term commitment No contract — cancel any time The honest recommendation Use Classplus if you are running 50+ students, want a branded app parents open on their phones, and want a payment gateway built into the product. The cost and the complexity are justified when the platform is doing real work at real scale. Use PingClass if you are under 50 students, want to start free, and prefer simplicity over feature density. A two-teacher institute does not need a course catalog — it needs to know who came today and who has not paid. Both tools are fine choices. Size is the real deciding factor — everything else is the platform that matches the size. The bottom line Classplus and PingClass solve the same problem at different scales. If you are growing toward 50+ students, Classplus earns its price. If you are small and want to stay simple, PingClass gets you the same core record — attendance, fees, parents — free, with no contract to escape. Both tools are fine choices. It works — until it quietly stops working. This guide compares spreadsheets and WhatsApp against purpose-built tuition management software like PingClass, so you can see exactly when the switch pays for itself. The short answer Spreadsheets and WhatsApp are free and familiar, but they put the work on you: every attendance entry, every fee reminder, every "has Rahul paid?" is a manual task. Tuition management software keeps one shared record and automates the reminders and the views. Once two teachers are entering data, or parents start asking what they owe, purpose-built software stops being optional. What spreadsheets actually do well Zero cost. Free if you already pay for a Google account. Total flexibility. You can structure a sheet however you like. Familiar. No new tool to learn for a 20-student batch. Same for WhatsApp: it's free, everyone has it, and it reaches parents instantly. Where the free stack breaks down The problems appear in stages, not all at once: One person becomes the sheet. Attendance stops getting logged the moment the owner is busy teaching, because only they "own" the data. WhatsApp buries information. "Fee reminders" live between memes and school notices. Parents genuinely miss them. No per-batch truth. "Who owes money in Class IX?" means filtering a sheet and cross-checking a group — every single time. No role separation. Teachers see (and can edit) everything, or you give them nothing. Disputes. "I already paid in May!" is exhausting to argue without a per-parent record. Side-by-side comparison Daily task Spreadsheets / WhatsApp Tuition management software Attendance Manual entry; depends on someone remembering Marked in seconds, batch-wise, automatically visible to admins and parents Fee tracking Names and amounts in a sheet; reminders sent one-by-one Paid, pending and overdue per student and per batch Reminders Manual WhatsApp/SMS messages Automatic notifications before the due date Parent questions Answered by you, repeatedly Parents open their own attendance and payment history Access control Everyone sees everything, or nobody Admin, teacher and parent each get their own view Cost Free — paid for in evening hours ₹0–₹599/month depending on size Not everyone needs to switch Be honest with yourself: One teacher, under ~20 students, and fee disputes almost never happen? A spreadsheet genuinely works. The moment you're two or more teachers , tracking multiple batches , or fielding repeat fee questions — the manual stack costs you more than a subscription does. Spreadsheets are the registration book of the internet age. They work because the institute is small enough that someone can babysit them. What PingClass replaces, specifically The attendance sheet — teachers mark from the dashboard, and the record lives once. The "who owes what" sheet — paid, pending and overdue is computed per student and per batch. The reminder walk — parents get push notifications before due dates; no SMS costs, no WhatsApp API. The WhatsApp questions — a parent app the parent can check instead of calling you. You keep the parent relationship . You stop being the human database behind it. The bottom line Use spreadsheets until there are two people touching the data. After that, measure the switch by time, not price: if the tool saves one evening a month, it has already paid for itself. Keep the sheets, or try the system. PingClass replaces the attendance sheet, the fee sheet and the WhatsApp question loop — free for up to 20 students, no time limit. Get them right and attendance, fees, and teacher workloads line up almost by themselves. Get them wrong and you're forever juggling "which student is in which group, again?" Here's a practical way to structure batches that scales from 20 students to a few hundred. 1. Split by class and subject, not convenience The most obvious dimensions — class (IX, X, XII) and subject (Maths, Science) — are usually the right ones. Students group naturally by what they're preparing for, and teachers specialize by subject. Within that, a common mistake is packing everyone in one physical slot. If Monday 4:30 works for most, eager students get in and late joiners start a second, smaller batch. Size matters more than neatness: 1–10 students : near one-on-one, high fee per student 10–15 students : the sweet spot for attention and economics 16–25 students : fine for strong subjects with a good teacher; watch the weak students 25+ : you're basically a classroom now — expect attendance issues 2. Give every batch a single source of truth Manual institutes keep a register per batch, a fee list per batch, and sometimes a WhatsApp group per batch — and they drift apart. "His fees are pending, no wait, he moved to Class X batch." When a batch is a named entity that attendance, fees and announcements hang off — rather than a sheet of paper — every question about that batch has one answer. 3. Assign teachers per batch, then check the load Attendance problems often start with teacher overload, not student apathy. Structure batches so each teacher's weekly load is visible: How many batches does each teacher run? What times conflict across batches? Who is a weak student to the teacher we can't afford to overload? A two-teacher academy we spoke to restructured around teacher load and cut cancellations from twice a week to zero in a month — because no teacher was double-booked anymore. 4. Fees attach to the batch, not the enrollment form When every student in a batch pays the same monthly fee, collections become predictable. You can see at a glance: batch has 14 students × ₹1,500 = ₹21,000 expected. Then compare against what's been collected — the gap is your follow-up list. The bottom line Good batch structure is boring, and that's the point. Sized right, named clearly, taught by a manageable-load teacher, and carrying its own attendance and fee records — a batch that's structured this way runs itself. Run batches that run themselves PingClass keeps students, teachers, attendance and fees attached to the right batch — and shows collection rate per batch at a glance. There's no universal "right" answer — but there is a right answer for your situation. Here's the comparison. Monthly fee (most common) You charge a fixed amount each month, like ₹1,500, until the student stops. This is what most Indian tuition centers do. Pros: predictable income; parents think of it as a small recurring cost; easy to adjust if the student changes batches. Cons: you're chasing collection every single month; students can quietly stop paying while still attending. Monthly works best when your coaching is open-ended — school-syllabus support that runs across the academic year. Course fee / term fee You charge a larger amount up front for a defined period: a 3-month term, or a fixed module (e.g. "Maths Class X — full year ₹9,000"). Pros: you get your money early, which means fewer reminders; parents commit properly; revenue per student is higher and predictable. Cons: a bigger ticket is harder for parents to say yes to; seasonal exam-prep centers have a natural start/end anyway. Term fees suit exam-focused programs (board prep, JEE/NEET crash courses) where there's a clear beginning and end. Hybrid: monthly with a term commitment Many centers strike a middle ground: collect a term or annual fee that includes a top-up for the full year, while letting monthly reminders fall away for everyone who's paid. This gives you the certainty of course fees and the flexibility parents expect day-to-day. What the collection burden looks like in each model Model Collection touchpoints / yr Typical loss Monthly ~12 reminders per student 1–2 months lost per dropout Term 2–4 per student Low — money up front Hybrid 1–2 per student Lowest Whatever model you choose, the mechanics matter more than the label: knowing exactly who's paid, who's pending, and sending one reminder before the due date is what actually protects your income. The bottom line Use monthly fees for ongoing school support, term or course fees for exam-oriented programs, and a hybrid if you can. Then make the collection process itself automatic so the model you pick doesn't fall apart in month two. Whatever you charge, collect without chasing PingClass tracks paid and pending fees per student and batch, sends reminders before the due date, and shows your real collection rate. Tally is an excellent accounting tool, and ERP software genuinely runs factories and schools with 500+ staff. But neither was designed for a 30-student coaching center, and the mismatch shows up the first week you try to use them. Here is why a general accounting suite is the wrong tool for running an institute. What Tally does well Tally is a mature, genuinely capable accounting product. For a business with employees, inventory and compliance obligations, it handles the serious work: GST compliance. Invoices, input credit reconciliation and returns are built-in and battle-tested. Depth of accounting. Ledgers, balances, profit and loss, trial balance, audit trails — the full accounting core. Inventory and stock. Items, godowns and valuation for businesses that physically hold goods. Payroll. Salary structures and pay runs when you have a real employee list. None of these are small jobs. If you sell stock, file GST and pay a staff of twenty, Tally earns its place. Why Tally is wrong for a tuition center The problem is not that Tally is a bad product. It is that a tuition center is a different kind of business, and the areas Tally ignores are exactly where the institute runs: No student-level attendance view. Tally tracks money, not people. You cannot mark "present" per student per class, let alone see the trending absentees in a batch at a glance. No parent portal. There is no interface where a parent opens their child's attendance and payment history. Every question is answered by you, on the phone. No batch-wise fee tracking. Tally records fee payments as journal entries. "Who owes what in Class IX evening batch" is not a question Tally can answer with one click. No automatic reminders. There is no concept of a due date that pings a parent before it passes. Reminders remain a manual job. A steep learning curve. The person using it is usually a teacher who has been teaching four hours a day. Voucher entry and account masters are not how they think, and they should not have to. What an ERP actually solves "ERP" sounds impressive until you read the feature list, because the features it stresses are the problems a tuition center simply does not have: Multi-department inventory. Raw material, work-in-progress and finished goods across locations. HR and attendance for staff. Leave policies, payroll integration and heads for hundreds of employees. Procurement and vendor management. Purchase orders, vendor ledgers and purchasing workflows. Large-school administration. Timetabling, exam systems and departments for institutions that run like organisations. These are the problems of a factory, a distributor or a 500-student coaching chain. A 30-student center has none of them, so most of the ERP is overhead — screens to click through, modules to license and training to pay for, all hunting for problems the institute does not own. What a tuition center actually needs Strip away the departments and the institute really runs on four things: Batch-wise attendance. Mark a class for Class IX in seconds; everyone else can see it without being asked. Student-wise fee status. Paid, pending and overdue — visible per student and per batch, without opening a ledger. Parent notifications. Reminders reach parents automatically before the due date, instead of living in a manual to-do list. A dashboard a teacher can use in 30 seconds. The person in front of the class should not need an accounting course to record that a student attended. Dedicated tuition management software was built around exactly these four problems. That is the whole point of it: the features line up with the job before you, instead of asking the job to bend around an accounting package. Side-by-side comparison Feature Tally / General ERP Tuition management software Primary purpose Accounting, inventory and organisational administration Running the institute — attendance, fees, parents Attendance per student Not available; tracks money and stock, not people Marked per student per class, batch-wise, instantly Batch tracking Manual bookkeeping that you label yourself Built in: fees and attendance grouped by batch Parent portal None Parents open their own attendance and payment history Fee reminders None; manual follow-up Automatic notifications before the due date Setup time Chart of accounts, masters, configuration; days to weeks Add students and batches; usable within an hour Monthly cost Licence plus training and often a consultant; thousands ₹0–₹599/month depending on size GST invoicing Excellent — the genuine reason to own it Focused on fee receipts; general GST is your accountant's job The exception The exception is a larger coaching institute that already runs like a small business: employees on payroll, physical inventory (books, material, uniforms) and real GST obligations. In that case Tally can make sense for the accounting side — your accountant should be happy in it. But Tally still does not replace attendance, parent access or batch tracking. If you grow into an ERP, you pair it with tuition management software — you do not swap one for the other. Bottom line Do not use a general tool for a specialised job. Tally is for accounting, and it is excellent at it. Tuition software is for running the institute — attendance, fees, parents and reminders — and it is excellent at that. The two do not compete; they simply answer different questions. For the day-to-day of a tuition center, the tool built for it is the one that fits. Choose the tool that fits the job When the advice is "just use Tally," ask what you are actually tracking: ledgers, or students? If the answer is students, the accounting suite was never the right hangar for that plane. Tuition software handles what Tally was never built for. PingClass is free for up to 20 students, no time limit. Attendance, fee status and parent notifications without the ledger entry. Fee reminders go out late. A payment goes missing. A parent asks a question you have already answered three times. And somewhere in the middle of it, you are supposed to be teaching. It doesn't have to run you. The owners who look calm in the first week aren't doing less than you — they have just stopped doing the same small things every single day. They batch the month's admin into one short block and then leave it alone. Here is the routine. On a normal month it takes about forty-five minutes. Why the first week feels like a fire drill The panic isn't caused by too much work. It's caused by doing tiny pieces of admin all month instead of all of it once. A reminder here, a "did you pay?" message there, a half-checked pending list — and by the fifth of the month it's a pile of loose ends with no single moment where any of it is actually finished. Batching fixes that. One block, in order, start to finish. Nothing about it is complicated; it's just that it happens once instead of forty times. The 45-minute monthly reset Let the fee reminders go out. Not after the due date — before it. This is the highest-leverage step, because a reminder that arrives early prevents the awkward "can I pay tomorrow?" call altogether. If the reminders are typed by hand from memory late at night, this is the step that quietly eats your evening. Sending reminders before the due date, not after is the single change that removes most of the friction. Scan last month's pending list. Not the whole ledger — just the students who didn't pay. Follow up with the few stragglers once, then stop. Most clear in a day; the rest you will simply see again next month. Check the collection rate per batch. "We collected ₹89,000" tells you nothing until you know you should have collected ₹1,00,000. Per-batch numbers show you exactly which class is slipping, which a single total never will. Open the at-risk attendance list. One call to one parent whose child is drifting is worth more than a message to everyone. Attendance and fees are the same problem seen from two sides — a student who stops showing up is often a fee about to go pending. Keeping attendance accurate is what makes that list possible in the first place. Post one announcement. A test, a holiday, a schedule change. One message, once, to everyone who needs it — instead of ten separate conversations. Nothing here is clever. The trick is that a ten-minute check twice a week, plus one forty-five-minute reset at the start of the month, beats a monthly fire drill every single time. The weekly 10-minute check The monthly reset handles the big pass. In between, ten minutes twice a week keeps the pile from rebuilding: scan pending, mark what came in, glance at who missed class. You are not trying to "finish fees" — you are keeping one accurate record so the monthly block stays short. Do it in this order The sequence matters more than the speed. Reminders go out first, so the money conversation starts early. Pending comes second, because it's the shortest list. Collection rate is third, attendance fourth, and the announcement is last — it's the only step that talks to everyone, so it waits until everything personal is done. Weave those five steps into one sitting and the first week stops being something that happens to you. The record does the remembering; you do the teaching. The bottom line You don't need more discipline to survive the first week of the month. You need one block, in one order, that you actually run. Fifteen minutes a week plus a monthly reset is the whole trick — and it works whether you track it in a register or in software built for it. Want the first week to take 45 minutes? PingClass sends fee reminders before the due date, shows collection rate per batch, and flags at-risk attendance — so your monthly reset takes minutes, not an evening. It's the fastest way to reach forty parents at once, and for years it has been the entire communication system. The problem was never the group. It's using one megaphone for information that concerns only one family. Once you separate those two jobs — announcements for everyone, details for one — the phone stops ringing and the group stops being chaotic. What a WhatsApp group is actually good at The group is a broadcast channel. For anything that applies to everyone — "test on Friday", "holiday on Monday", a reminder about the fee cycle — it's hard to beat. One message, everyone sees it, done. Nothing about the group is broken here; it's doing exactly what it's meant to. Where the group breaks down It breaks the moment the message is about one child. Post "kindly clear pending fees" and forty parents scroll past — but the two who actually owe money feel singled out in front of everyone. Post a schedule change and it's buried under fifty "ok sir" replies by morning. The parent who needed it most never sees it. Answer "did he attend today?" once and you'll answer it a hundred times, in the group and in DMs, all term. Student-specific information — attendance, fees, batch — is per-family by nature. Pushed into a group it becomes either public noise or a private question you handle one by one. Manually, there is no third option. Push, don't pull The change that ends the chaos is a simple flip: stop waiting for parents to pull answers out of you, and push the update to them first. Attendance marked in class shows up on the parent's own screen before they think to ask. A fee reminder arrives before the due date. A notice reaches the family it concerns — and no one else. None of that belongs in a group, because none of it is the same for everyone. It needs records that already know which parent belongs to which child — which is exactly what a dashboard does and a group never will. Group vs dashboard — what goes where WhatsApp group (broadcast) vs Parent dashboard (per-family) "Test on Friday", "holiday Monday" vs "Your child missed today's class" One message, everyone vs One parent, their child only Schedule changes and notices vs Attendance, fee status, receipts Gets buried under replies vs Waiting there whenever they look How to split the two without confusing parents Keep the group — just change its job. Tell parents once: "Announcements stay in the group. For your child's attendance, fees and receipts, open your dashboard." Most parents get it immediately; it's less scrolling for them, not more. Then let the dashboard absorb the daily questions. The whole point is to push updates instead of pulling questions — attendance, fee status and notices reaching the right family before anyone has to ask. If a parent can see their own child's record, they stop messaging you about it. The bottom line The group isn't the enemy; a megaphone used for private matters is. Keep the group for what everyone needs to know, move the per-child details to a dashboard, and the noise drops — while parents end up trusting you more, not less, because the answers are always a tap away. Keep the group for announcements. Let the dashboard answer the rest. PingClass gives every parent their own view — their child's attendance, fees and downloadable receipts — so the group stays quiet and the questions stop.
